Overview
We are supporting the Joint Force Training Centre (JFTC), a NATO organisation based in Bydgoszcz, Poland, with the search for a Finance & Accounting Specialist to support financial operations, accounts receivable, travel claims, reimbursement activity, and financial administration within an international NATO environment.
This is an excellent opportunity for an accounting or finance professional looking to work in a highly structured international environment, supporting NATO operations and working alongside multinational stakeholders.
The role combines hands-on financial processing, accounting system administration, expense and travel claim handling, reporting, and stakeholder support. You will also support fiscal close activity and help ensure financial records, reimbursements, and delegated budgets are managed accurately and in line with internal policy.
This position would suit someone from an accounting, finance, business, banking, or financial administration background who enjoys structured financial work, attention to detail, and working with systems and processes.
Key Responsibilities
• Prepare and issue Accounts Receivable invoices / Collection Vouchers using the FinS accounting system for recovery of reimbursable costs.
• Process financial recoveries relating to:
o Reimbursable budgets
o Delegated budgets
o Taxes and reimbursable expenses where JFTC is entitled to reimbursement
• Produce cost split reports to support Accounts Receivable invoices and issue documentation to relevant stakeholders and customers.
• Monitor outstanding invoices and payment status, ensuring overdue items are followed up, investigated, and resolved in a timely manner.
• Administer the Accounts Receivable process, working closely with the Budget Manager to ensure delegated funds from NATO Headquarters and Agencies are correctly accounted for.
• Prepare documentation relating to VAT and excise duty reimbursement claims, ensuring completeness and accuracy for:
o Official JFTC business
o Morale and Welfare Programme activity
• Receive and process Expense Reports from JFTC personnel undertaking official travel.
• Review, pre-approve, enter and process Travel Claims within the FinS accounting system, including associated calculations such as:
o NIC
o LWR subsistence allowance
• Monitor travel claim progress and ensure payments are completed within required timescales.
• Respond to staff queries relating to:
o Travel policies
o Travel calculations
o Expense claims
o Payment status
• Support the Fiscal Officer during:
o Month-end close
o Fiscal year-end activities
o Financial administration and supporting documentation
• Introduce and support new staff members using the FinS financial system.
• Provide additional finance support during peak periods, including assistance with Accounts Payable (AP) invoice entry into FinS.
Essential Experience
To be considered, candidates should have:
• A minimum of 2 years’ experience within:
o Accounting
o Finance
o Economics
o Banking
o Business or financial administration
• A minimum of 6 months’ experience working with an automated financial or accounting system.
• A solid understanding of:
o Accounting principles and standards
o Financial administration
o Automated accounting systems
• Strong Microsoft Excel skills, including practical use of formulas and functions for financial tracking and reporting.
Education Requirements
You must have either:
• A university degree in:
o Accounting
o Finance
o Economics
o Business
o Banking
Or
• Secondary education plus an additional 5 years of relevant professional experience beyond the minimum required experience.
English Language Requirement
Candidates must demonstrate a very good command of spoken and written English, equivalent to NATO STANAG 6001 – Level 3333 (Listening, Speaking, Reading and Writing).
This can be demonstrated through recognised certification, including:
• NATO STANAG 6001 – 3333
• CEFR / CEF B2+ (Vantage+)
• COE B2 Vantage
• ALTE Level 3 Independent User
• Cambridge ESOL FCE
• IELTS Level 5
Equivalent English proficiency may also be accepted where candidates can demonstrate:
• An English-speaking professional background, or
• At least 24 months’ experience within the last 3 years working in an English-speaking role where English was the primary language used professionally.
